Q: I am a PI in the Medical Center. What should I do if I already know I want to
hire a postdoc?
A: As soon as you know that you want to hire a postdoc, you should develop a job description and post it to the Office of Postdoctoral Services. You should also contact your department HR manager who will work with you to create a position.
Q: I am a PI within the University (not SOM/SON). What should I do if I already
know I want to hire a postdoc?
A: Go to your departmentHR manager and complete a position management screening form. On this form, please provide clear details about this position. Also note if the position will be
funded by ARRA funds
This form will be expedited through the system if funded by ARRA. The HR manager will create a position number for the hire. You should develop a job description and post it to the Office of Postdoctoral Services.
Q: How can a PI (campus or Medical Center) access the pool of postdoc
applicants?
A: You or your designee should call Marcia Robinson in HR (684-5019) and indicate that you are interested in the postdoc pool. Marcia will ask for the position requirements, and for key words which described the technical skills and requirements. She will screen the pool and send you any CVs that might fill the requirements.
Q: When can I offer a postdoc a position?
A: You should work with your departmental HR manager who will advise you about your department hiring policies. Generally, you will not be able to make a job offer until you have a Notice of Grant Award from your funding agency.
Q: How long will I have to wait for this postdoc hire to be processed?
A: This will be an express hire but it should go through HR procedure within the department.
Q: What if I already have a specific candidate for a postdoc position?
A: You should notify your hiring manager that you would like to hire a specific candidate for your postdoc position. The hiring manager will work with you on the details for the appointment letter (job offer).
Q: I need to hire a Research Tech (I or II) and/or a Lab Analyst (I or II). What
do I do?
A: You should go to your deparmental HR manager. Campus departments will be required to complete a position management form. On this form, you should indicate what the position will be and that it is funded by
ARRA funds
. This form will be expedited through the system. In parallel, the HR manager will create a hiring requisition in iForms. The requisition will process through the system and it will show up in the hiring module of iForms. HR will populate the requisition with applicants and the hiring process will proceed as usual (keep in mind that HR Recruitment will, upon request, E-Link qualified resumes directly to the PI once an intent to fund announcement has been received.
Q: Is there a waiting period for hiring Research Techs, Lab Analysts or Grants &
Contracts Assistants?
A: No. Since all the jobs have already been posted for more than 7 days, once you identify the candidate of choice, the departmental HR manager can complete the hire in the HR system without waiting for a posting period. Note- If in the event you request a hiring requisition other than one of the six requisitions already posted, then the position must post for the customary 7 day period.
Q: What if I already have a specific candidate for a Research Tech or Lab
Analyst position?
The candidate needs to apply for the position at www.hr.duke.edu/jobs/stimulus. Your HR manager needs to contact Marcia Robinson (684-5019) and request that the candidate be put in the pool for your job requisition. Once the candidate shows up in the pool, you and the HR manager can proceed with the candidate selection.
Q: Does it take a long time to put the applicant in the pool?
A: It usually only takes a couple of hours to put someone in the pool.
